Party Planning Tips – Children’s Parties
Top Tips for a Stress-Free, Magical Party
We all want our children’s parties to be memorable — for all the right reasons! Here are our tried-and-true tips to help you plan a celebration that’s joyful, smooth-running, and stress-free.
Planning & Prep
Guest List & Budget
Set a clear guest limit early on — it helps manage costs and expectations. Let your child know how many friends they can invite to avoid surprises later.
Parent Communication
Create a WhatsApp group (or similar) for all attending parents. It’s perfect for RSVPs, directions, consent forms, and sharing party photos afterward.
Photo Permissions
Use the group to confirm photo consent ahead of time. It avoids awkwardness on the day and ensures everyone’s comfortable with how images are shared.
Catering Made Easy
Keep food simple — party boxes prepped the night before are ideal. Or let us handle catering so you can enjoy the fun instead of making sandwiches!
Dietary Needs
Check for allergies or dietary restrictions well in advance. Most parents of children with special diets are happy to provide their own food if needed.
Hosting at Home
Set Boundaries
Make it clear which rooms are in use and which are off-limits. Most parties only need one space plus access to a toilet and handwashing.
Music Prep
Create a playlist ahead of time and stick to it. Taking requests mid-party can turn you into the DJ instead of the host!
Drop-Off Clarity – Our parties are designed as drop-and-go events. Let parents know in advance to avoid confusion at arrival.
Capture the Magic – Charge your phone or camera the night before. Better yet, ask a friend to take photos so you can relax and enjoy the moment.
On the Day- Be Present
Join in the fun! Being in the room lets you soak up the joy and see how your child interacts with their friends — priceless memories.
Kindness Counts
We always begin our parties with a reminder to be kind and inclusive — it sets the tone for a happy, respectful celebration.
Toilet Roll & Towels
It may sound silly, but stock up! Have spare toilet rolls and hand towels visible — kids often go in pairs and supplies run out fast.
Refreshments for Adults
Keep it simple: tea, coffee, and bottled water are perfect. And don’t forget to offer your party hosts a drink — caffeine is always appreciated!
Parking Plan
If space is tight, shuffle cars ahead of time or use your WhatsApp group to coordinate drop-offs and pickups.
Decorate Early
Inflate balloons and set up decorations the night before. It’s one less thing to worry about on party day!
Pet-Free Zone
We love animals (especially our three rescue beagles!), but parties aren’t ideal for pets. Arrange pet care for the day to keep things calm and safe.
Venue Choice
If hiring a hall, choose one you’ve used or visited before. Confirm access times clearly — nothing’s more stressful than being locked out when setup should begin!
How to Choose & Prepare the Perfect Party Venue
Finding the right space can make or break your celebration. Here’s our essential guide to choosing and prepping a venue that keeps things smooth, safe, and stress-free.
Choosing Your Venue
We always recommend selecting a hall or venue you’ve visited before. When viewing or booking, ask these key questions:
- Is there ample parking for guests and suppliers?
- Is the venue secure, with doors that can be locked ormonitored?
- Can doors be safely secured to keep little ones inside?
- Is there a separate room for food or quiet time?
- Is there a kitchen? What equipment is available (e.g., fridge, oven, urn)?
- Are there any restrictions on decorations, glitter, slime, or confetti? Always check to avoid surprise charges.
Timing Tip:
Book the venue for at least one hour before and one hour after your party. Anything less creates unnecessary pressure during setup and cleanup.
Hall & Venue Prep Tips
Make your party day run like clockwork with these smart prep ideas:
- Ask for a check-out checklist or request a staff member to meet you at the end to confirm the venue is returned in good condition.
- Bring plenty of cleaning supplies — and enlist help from friends or family.
- Stock up on kitchen roll, toilet roll, and hand wash —you’ll thank yourself later.
- If the hall has an urn, boil a kettle, tip the kettle of water infirst to kickstart it and switch the urn on immediately upon arrival.
- Use disposable cups for easy cleanup and have lots of napkins on hand.
- Pack multiple rolls of bin bags — one roll is never enough!
- Bring wet wipes, baby wipes, and cleaning wipes —they’re lifesavers.
- Keep your car keys and hall keys in a safe spot — out of reach and clearly marked.
- Pre-assemble decorations at home if possible — many are fiddly and time-consuming on the day.
A little planning goes a long way toward a smooth, magical celebration.

Food & Drink Essentials

- Use party food boxes — they prevent squabbles, greedy hands, and over-catering. Just prep one box per child.
- Govegetarian for all — it simplifies planning and avoids confusion on the day.
- Keep boxes identical — same sandwich, same snack, same sweet — no complaints, no swaps.
